Core Description

This purpose of the job is a projects co-ordination and administrative role. Covering various project and service request form customers.

This will include planning, quoting, scheduling, execution and close out of project tasks.

The individual will also be required to provide effective communication to customer and internal teams with regards progress as well as provide support to customer engagement team members

Key Deliverables / Primary Functions

  • Planning through to closeout of various customer project and service requests
  • Documenting of Scope of works, Authority to Proceed (ATP), project plans / schedules, cost sheets
  • Documentation storage: Recording and keeping project files which contains all relevant project documentation and communications in a centralized repository
  • Registration and updating of projects and service requests in the Octane PMO register
  • Assist Customer Engagement teams in customer meetings and with planning, costing, and updating customers on requests
  • Execution of projects and service requests
  • Provide update reports to all stakeholders on individual projects at least weekly
  • Scheduling of resources with internal teams
  • Obtaining quotes, approvals, issuing purchase orders and scheduling 3rd party service providers
  • Managing and reporting on project stock: provisioning, planning requirements, usage, and Stock on hand
  • Customer communication: Scheduling installations with sites, updates, progress updates, start, finish communication and follow-ups.

Minimum Qualifications

NQF 4: Grade 12 National Diploma

Additional Education -Preferred /Advantage

Experience

1–2 year Project Administration experience
